Give the waitlist structure

Do not keep only a queue of names. Store the service, suitable team member, days, time range, location and how quickly the customer can attend.

Verify the mobile number and explain what joining means. The list does not guarantee an appointment, and customers should be able to leave it easily.

Match the opening to suitable customers

When a slot opens, filter for people who can actually use that time and service. Targeting avoids unnecessary cost and disappointment.

Choose a priority rule in advance, such as signup order or small sequential batches. Apply it consistently and log who received an invitation.

Write an SMS that prompts a decision

Include the business, service, exact date and time, location, response deadline and booking method. Do not treat the slot as booked until confirmation is complete.

Example: “[Salon]: haircut available Tuesday 16:30. Book by 14:00: [link]. Subject to availability until confirmed.” Avoid sensitive appointment details.

Prevent double booking

A link backed by real-time availability is safer than several manual replies. If two people respond, only a completed booking should lock the slot.

Set a short but realistic response window, then move to the next batch. Send an explicit confirmation to the successful customer so nobody mistakes an invitation for a booking.

Measure fill rate, speed and experience

Track the share of openings filled, time to booking, message segments per filled slot and list removals. A click alone is not a completed outcome.

Delete stale preferences or ask customers to refresh them so data stays accurate and necessary. This supports GDPR data-minimisation and storage-limitation principles.

Frequently asked questions

Should everyone be notified at once?

Small targeted batches usually reduce disappointment and message volume. Use a consistent priority rule.

How long should the response window be?

It depends on how soon the appointment starts. State an exact deadline and do not lock the slot without confirmation.

Does joining a waitlist mean consent to offers?

Not automatically. Use the number for the stated waitlist purpose and collect any marketing permission separately.
