12 Ready-to-Use Appointment Reminder SMS Templates
Twelve concise templates for salons, barbers, nail studios, group classes and other appointment businesses, with privacy and segment guidance.
How to use these templates
Replace the bracketed fields with real booking details and test the finished message on a phone before enabling automation. Business name, date, time and a clear change route matter more than a clever greeting.
These examples are written as operational reminders and deliberately exclude offers. If you add a discount, package or invitation to purchase, treat the result as potential direct marketing and review consent and opt-out requirements separately.
Twelve templates for common booking scenarios
Use only the variables the client genuinely needs. In medical or otherwise sensitive settings, refer to an appointment in general terms and avoid diagnoses, treatments or details that another person could read on a locked screen.
Each line below is a starting point, not mandatory legal wording. Adapt the cancellation method, location details and policy to your business while keeping the final text short and unambiguous.

Localise the message to the service, not just the language
A hair salon may usefully name the stylist and arrival instructions, while a barbershop usually needs only the time and change link. A nail studio may ask for advance notice when the booked service changes because that can materially alter the slot length.
For a group booking, explain how the recipient can release the place. For healthcare and confidential advisory services, keep the wording discreet and verify that the mobile number still belongs to the intended person.
Accents, emoji and per-segment billing
An SMS containing characters outside GSM-7 may be encoded as UCS-2. The usual capacity then falls to 70 characters for one segment and 67 per segment in a concatenated message, so a visually short multilingual text can consume two or more billable units.
Do not remove accents mechanically if that makes the copy unclear or unprofessional. Use the actual provider's segment counter, limit emoji and smart punctuation, and test the final rendered text after personalised variables have been inserted.
Quality checks before automation goes live
Send tests to different devices, use an unambiguous date format and confirm that every link opens without requiring an account the client does not have. Test unusually long names as well, because dynamic fields can push an otherwise valid template into another segment.
Periodically review invalid numbers, delivery failures and stop requests. Automation saves manual work only when customer records and sending rules remain accurate over time.
Frequently asked questions
Should the reminder name the booked service?
Only when it is useful and does not reveal sensitive information. In healthcare or private settings, a generic reference to an appointment is often safer.
Why did a short multilingual SMS use two segments?
Greek or other Unicode characters may trigger UCS-2 encoding, which has a shorter per-segment limit. Count the completed, personalised text using your provider's tools.
Does a simple service reminder need an opt-out?
The precise answer depends on purpose, content and applicable law. Keep promotions out of operational reminders and obtain advice for your workflow; this article is general information, not legal advice.
