From Paper, Excel, and WhatsApp to Online Booking: A 7-Day Migration Plan
Move a small business to online booking with a controlled seven-day plan for data, services, staff, testing and customer communication.
Day 1: inventory before cleaning
List every calendar, spreadsheet, WhatsApp thread and paper diary acting as a source of truth. Record future appointments, repeat customers, services, durations, staff and exceptions.
Do not copy every legacy field. Classify what operations require, what has a lawful retention need and what should be securely removed. Seek specialist advice for sensitive or medical records.
Days 2–3: configure services and real availability
Create consistently named services with duration, price, buffers and qualified team members. Add working hours, leave and resources before importing appointments.
Set change rules, advance-booking windows and required fields. Run internal bookings for difficult cases such as back-to-back services and different staff schedules.
Day 4: controlled data import
Remove duplicates, format phones with country codes and import a small sample first. Check mapping, Greek-character encoding and separation of marketing preferences from booking contact details.
Import only data you have a reason to process. Maintain a secure backup and migration log without scattering uncontrolled copies across personal devices.
Day 5: team end-to-end test
Each staff member books as a customer, adds a phone appointment, reschedules and locates a cancellation. Test notifications, time zone, mobile access and permissions.
Write a one-page operating process and name the person who resolves errors. Declare one source of truth; two live calendars without a rule create conflicts.
Days 6–7: phased launch and communication
Publish the link first on the website and Business Profile, then inform customers with a neutral service message where appropriate. Do not turn migration into a marketing blast without a lawful basis and opt-out.
Keep the old system read-only for an agreed period, reconcile the next 48 hours daily and record issues. After cutover, remove unnecessary access and securely delete temporary exports.
- One source of truth
- Sample import before full migration
- Read-only parallel check, not double entry
- Named migration owner
- Rollback and export before launch
Frequently asked questions
Can migration really happen in seven days?
For a small business with clean data and limited scope, yes as a controlled pilot. Large or sensitive datasets require more time.
Should every historical record be imported?
Not necessarily. Move what operations or lawful retention require and archive the rest with controlled access.
When should the old calendar close?
After reconciling future appointments, passing an end-to-end test, briefing staff and taking a secure export or backup.
